Scanning Technology

Scanning Technology

Advanced and easy to uses features to enhance scanning

The act of scanning your documents in can be greatly enhanced using a range of advanced yet easy to use features. For example:

Scanners with the capability to scan both sides of paper at the same time increase speed. Barcodes provide instructions that would otherwise interrupt a scanning workflow. Image clean-up and enhancement ensures that your documents look their best before being processed. Bates stamping keeps track of what’s been scanned and what it relates to. And OCR technology converts printed or handwritten text into usable, editable, importable data.

Single Pass Scanning

Single Pass Scanning

Scanning both sides of your document in one pass

Document scanners with feeders are rated on how many A4 pages they scan per minute, for example, a desktop scanner may scan at 30 pages-per-minute in colour. But if these documents are double sided this can more than half the scan speed depending upon the technology used.

Reversing Automatic Document Feeders (RADF) have to re-feed the document, flipping them in order to be read, which is slow and extends the paper path, often leading to feed problems. Single pass scanners can read both sides of the paper in one pass, allowing the scanner to run at full speed and with the shortest paper path, which is far more reliable.

Scanning Barcode Recognition

Barcode Recognition

Helping speed up your document capture with barcode sheets

Barcodes are incredibly useful in document scanning and capture, yet they’re often approached with caution as users don’t understand what they are. Although they look complicated, they’re easy to create, and all they’re actually doing is telling the software or scanner what to do with the document it’s about to scan.

Barcode sheets can be used automate routine and error-prone tasks such as naming, batching, splitting, filing, routing and removing blank pages. By placing the sheet with the appropriate barcode in front of a document or batch of documents, the desired process can begin without any further user intervention, which provides a simple user experience and consistent results.

Cleaning up scanned documents

Image Clean-up and Enhancement

Making your document spick and span

All scanning solutions benefit from clean and straight documents for more accurate recognition and less need for user verification. Once your documents have been captured they can be automatically enhanced by image clean-up technology:

  • Deskewing: Straightening the document as close to vertical as possible
  • Despeckling: Removing any dust or speckles, particularly in black and white documents
  • Orientation Detection: Automatic rotation of a document to by 90, 180 or 270 degrees

Bates Stamping

Bates Stamping

Automated document numbering

If you’re in the legal or medical sector you’re probably already familiar with bates numbering or stamping. Dates, text and sequential numbers are used to identify document pages, which are easier to reference than traditional chapters and page numbers.

With today’s scanning solutions, bates numbers can be automatically added to documents at the point of scan. You can preview and choose the numbering position to avoid conflict with other text and retain the continuity of the numbering, even when scanning in batches or at different times.

Zonal OCR

Optical Character Recognition

Convert handwritten or typed text into data

Optical character recognition, usually abbreviated to OCR, is the electronic conversion of scanned or photographed images of typewritten or printed text into machine-encoded/computer-readable text. It is widely used as a form of data entry from some sort of original paper data source, whether passport documents, invoices, bank statement, receipts, business card, mail, or any number of printed records.
